One vehicle record
Vehicle details, due times, customer information, Workshop notes, estimates, valeting requirements, photos, damage marks, messages and history stay attached to the same job journey.
ValetFlow now supports much more than a valet queue. It gives dealerships a shared operational record for vehicle booking, richer MOT information, Workshop work, customer approvals, accepted vehicle-and-key handover to valeters, capacity and SLA planning, quality checks, customer updates and final collection.
Customers can receive a private progress link, approve or decline estimate items and follow clear stages without seeing internal notes or needing a ValetFlow account.
ValetFlow connects the people and stages that normally become separated across paper sheets, spreadsheets, messages and verbal updates.
Vehicle details, due times, customer information, Workshop notes, estimates, valeting requirements, photos, damage marks, messages and history stay attached to the same job journey.
MOT, recall, service, diagnostics and repair jobs use their own board and statuses. When a vehicle passes to valeting, the receiving valeter must accept the vehicle and keys or return it to Workshop with a recorded reason before work can start.
A private progress page can show that the car has been received, assigned to a mechanic, passed to valeting and is ready. Estimate items can be approved or declined online.
Dashboards and job boards show waiting, active, quality-check, completed, reclean and overdue work. The capacity and SLA planner adds available minutes, overload warnings, due-time risk, handovers awaiting acceptance and QA targets.
Pre-valet checks, damage maps, before-and-after photos, timers, messages, status changes, QA notes and reclean records create a practical audit trail when questions arise.
Each dealership can use its own services, Workshop tasks, custom booking questions, parking locations, users, check-in rules, notification settings and optional feature switches.
The exact stages can be adapted, but the underlying record remains connected from arrival through to collection.
Use a one-page or guided form, enter the registration manually or use the configured vehicle lookup, then retain available MOT expiry/result, mileage and returned advisory or defect information alongside due time, key location, customer and instructions.
Create MOT, recall, service, diagnostic or repair work and assign the responsible technician.
Add labour, parts, fees and recommended work. The customer can approve, decline or part-approve items through a private link.
Move through received, assigned, in progress, awaiting approval or parts, ready and collected stages.
Create a linked wash-and-hoover or preparation job, record vehicle/key custody details and require the receiving valeter to accept the handover or return it to Workshop with a reason.
The valeter starts work, records condition, adds notes and photos, updates progress and submits for review or completion.
The private status page shows simple public stages while internal messages and sensitive notes remain hidden. The customer only moves into the valeting stage once custody has been accepted.
Close the customer page, record the key location and collection, then retain the timeline, evidence, invoices and reports.
Updated score against 24 practical checks. This is a workflow-fit score, not an overall product-quality rating.
ValetFlow does not need to replace a full DMS, accounts platform or mature parts system. Its strongest role is to organise the physical movement, work, evidence, handovers and customer updates around each vehicle.
The feature catalogue is now the main dealership-facing page; the original market research remains available behind it.
