Creating a clear vehicle booking

A good booking gives the valeting team enough information to start the job without having to chase somebody for missing details. Open New Booking and begin by confirming the dealership. When your account is linked to only one dealership, ValetFlow selects it automatically.

Choose the right service


Select a service from the dealership's own service list. Services are kept separate for each dealership, so staff do not see global or unrelated choices. If the required service is missing, a dealership administrator can add it under Setup rather than typing an unclear note into every booking.

Enter the vehicle details


Add the registration, make, model and colour. Where the DVSA lookup has been configured, enter the registration and use Find Vehicle to fill the available information. Always check the result before saving because vehicle records can be incomplete or recently changed.

Set the priority and due time


Use the customer-waiting option only when the customer is genuinely waiting on site. Add a realistic due date and time, and select the parking or key location when it is known. These details help the Live Job Board show what needs attention first.

Add useful instructions


Write notes that tell the valeter what is different about this vehicle. Avoid vague wording such as “usual clean”. Mention stains, dog hair, stickers, sales preparation requirements, access restrictions or areas that must not be touched. Internal notes should contain operational information only and not unnecessary customer details.

One-page or guided booking


Dealership administrators can choose the one-page form or the guided step-by-step form. Both save the same booking information. The guided form divides the job into smaller stages, while the one-page form is quicker for experienced staff who already know the process.

Before you submit


Check the registration, dealership, service, due time and customer-waiting status. Required custom fields must also be completed. After saving, ValetFlow creates the job ID and opens the digital job sheet.
