Create a clear chain of custody

Verbal handovers can leave managers unsure who has the vehicle, where the keys are or whether the next department knows the collection deadline. ValetFlow records the release and receipt as two separate actions so a handover is not treated as complete until the receiving person accepts it.

  • Person releasing the vehicle
  • Person accepting the vehicle and keys
  • Date and time of each action
  • Key and parking location
  • Mileage
  • Fuel level or EV battery percentage
  • Outstanding work and instructions
  • Return-to-Workshop reason when rejected
  • Linked customer progress update after acceptance

Prevent false customer updates

Releasing a vehicle from Workshop does not immediately tell the customer that valeting has received it. The private status page changes only after the valeter accepts custody, helping the public update match the real dealership workflow.

Keep the handover attached to the vehicle

The custody record stays with the Workshop and valeting history, alongside job notes, photos, damage information, due times and quality checks. This makes it easier to investigate delays or find where responsibility changed.

FAQs

Can a valeter reject a vehicle handover?

Yes. The receiving person can return it to Workshop with a mandatory reason instead of accepting an incomplete or incorrectly located vehicle.

Does acceptance update the customer progress page?

Yes, when an active customer progress page exists, acceptance can move the public stage to the valeting team. A returned handover does not make that change.
