Using quality checks and photo sign-off

Photo QA is an optional dealership feature and starts disabled by default. It should be enabled only when the dealership has a clear quality process and knows which photographs are required.

In this guide Follow the steps below in order. You can return to this page at any time.
Photo QA is an optional dealership feature and starts disabled by default. It should be enabled only when the dealership has a clear quality process and knows which photographs are required.

Agree the standard

Define what must be checked for each service. A routine wash and a full sales preparation should not automatically use the same checklist.

Review the actual job

Check the service instruction, condition notes, additional work and finished photographs. Where practical, inspect the vehicle in suitable lighting rather than approving it from a thumbnail alone.

Sign off or return

If the work meets the standard, record the sign-off. If it does not, create a precise correction or reclean instruction. Avoid general comments such as “do better”.

Photograph quality

A dark, blurred or distant photograph does not prove completion. Ask staff to retake important images before the vehicle leaves the work area.

Do not create bottlenecks

Photo QA should improve consistency, not leave completed vehicles stuck because no authorised person is available. Assign responsibility and review the process if the queue regularly stops at Quality Check.
