Preparing and sending a Workshop estimate

Workshop estimates keep recommended work on the Workshop job and give the customer a secure page where each item can be approved or declined.

Build the estimate


Open the Workshop job and add labour, parts, fees or other work. Give every item a description that a customer can understand, a quantity and a unit price. ValetFlow calculates the total.

Save as a draft


Use Draft while prices, availability or technician findings are still being checked. A draft should not be treated as customer authority to start work.

Check the recipient


Confirm the customer name and email address. Add a short message explaining why the work is recommended and whether any item affects safety or the vehicle's return date.


The link uses a random token and does not require an account. The customer sees the vehicle, dealership, message, item descriptions and prices. They approve or decline each item and submit once.

Read the response


All approved items produce Approved, all declined items produce Declined, and a mixture produces Part Approved. Open the saved response before starting additional work.

Changes after response


Do not silently alter prices or items after the customer submits. Discuss the change and create a revised or new estimate so the approval record remains clear.

Expiry and privacy


The private link expires after the configured period. Share it only with the intended customer and avoid including sensitive internal notes on the estimate.
