Adding dealership-specific questions to booking forms

Custom Booking Fields let each dealership collect information required by its own process without adding permanent fields for every ValetFlow customer.

Custom Booking Fields let each dealership collect information required by its own process without adding permanent fields for every ValetFlow customer.

Plan the question first

Before creating a field, decide who will answer it, why it is needed and where the answer will be used. Avoid collecting personal information simply because there is space for another question.

Choose the booking type

A field can belong to the normal vehicle booking form or the Workshop booking form. It appears only for the dealership that created it.

Choose a suitable field type

Use short text for brief answers, long text for notes, number for measured values, date or date and time for scheduling, dropdown for controlled choices and yes/no for a simple confirmation.

Required or optional

Make a field required only when the booking genuinely cannot be created without it. Too many required questions slow staff down and encourage inaccurate placeholder answers.

Section, width and order

Place the question in the relevant one-page section or guided step. Set the display width and sort order so related questions appear together.

Historical answers

Answers are saved against the individual job and appear on the job sheet. Hiding or archiving a field stops it appearing on new forms but keeps old answers intact.

Review the form

After adding fields, create a test booking in both interface modes. Shorten labels or help text that make the form feel crowded.
